Electronic Records

Electronic records are subject to the same retention and disposition requirements as non-electronic records. The JCPS Archives and Records Center provides a publication on managing records in electronic format. Consult Archives with questions about the preservation of electronic records and identification of records. 


Most district employees regularly use email. Email may be correspondence or other types of records covered by the Kentucky Public School District Records Retention Schedule. See the Public School Records Schedule page.

Who is responsible for saving these records?

The email sender is primarily responsible for saving the record copy unless:

  • The recipient altered it by making changes, adding attachments, or taking other actions or
  • It originated outside the district.
